Why cloud bookkeeping is more than a concept

There was a time, not long ago, when bookkeeping firms were apprehensive of cloud solutions. Those days are fading. And with the expanding cyber threat landscape, growing client expectations and the evolution of AI, cloud bookkeeping is no longer just a concept; it has become essential for modern bookkeepers.

When I refer to cloud bookkeeping, it is of course the primary use of cloud-based solutions to perform bookkeeping tasks instead of relying entirely on locally installed software and on-premises IT infrastructure. It is true that firms can adopt cloud bookkeeping in different ways, be it software-as-a-service applications such as QuickBooks Online, or they may host desktop applications such as QuickBooks Pro or QuickBooks Enterprise on servers managed by a third-party cloud hosting provider.

The aforementioned approaches can help firms overcome the accessibility, scalability, collaboration and infrastructure limitations associated with traditional on-premises systems. For one, they allow firms to serve clients across different locations and time zones. When firms rely exclusively on office-based infrastructure, employees may need to be physically present in the office outside regular working hours.

Cloud bookkeeping allows authorized users to access applications and financial data remotely, making it easier to serve clients across regions without depending on access to a specific office computer.

Accounting professionals increasingly expect flexible or hybrid working arrangements that allow them to maintain a healthier work-life balance while remaining productive. A traditional office-based infrastructure can make remote work difficult because applications and files may only be accessible from the company network. 

What also doesn’t get discussed enough is that modern bookkeepers cannot always wait until the end of the month to review financial information. They need timely visibility into transactions, account balances and bookkeeping workflows to identify discrepancies before they become larger issues. Cloud-based systems allow authorized stakeholders to access updated financial information and collaborate using the same applications and data.

Another aspect of cloud bookkeeping that cannot be overlooked is the cyber threat landscape and how rapidly it has evolved. With AI-based methods making attacks more targeted, convincing and difficult to detect, working in a managed cloud environment makes the most sense. 

A managed cloud hosting provider can help strengthen security by offering advanced controls such as multifactor authentication, data encryption, firewalls, intrusion detection and prevention, endpoint protection, regular security updates and automated backups. However, firms must carefully evaluate the provider’s security capabilities, certifications, incident response processes and shared responsibility model before migrating their bookkeeping applications and data.

What’s more is that, depending on their activities, location, client base and the data they process, bookkeeping firms may be subject to requirements such as the FTC Safeguards Rule, the CCPA, and other privacy or cybersecurity regulations. A managed cloud hosting provider can support these efforts by offering security controls, compliance documentation, audit reports, access-management capabilities and infrastructure designed around recognized standards. 

In an office IT setup, disruptions are frequent due to IT issues, such as hardware malfunction. Moreover, major incidents like earthquakes can cause significant downtime for bookkeepers. A well-designed cloud bookkeeping environment can improve the availability of bookkeeping applications and data. Cloud hosting providers can deploy redundant infrastructure and disaster recovery systems that allow bookkeepers to access the accounting apps even in the case of a natural disaster. 

Finally, there’s the overall cost savings for bookkeepers in the cloud environment. IT costs are a significant part of any accounting firm’s expenses. Firms must invest in capital expenditures, such as hardware procurement and equipment setup. Moreover, they incur recurring costs of hardware upgrades, maintenance, power bills and rent. 

Cloud bookkeeping minimizes both capital and operational expenses for accounting firms. By outsourcing IT management to a cloud hosting provider, firms no longer need to invest in high-end hardware. Consequently, the costs of maintenance, replacements and hiring for the IT workforce are also reduced. 

Cloud bookkeeping can help firms improve accessibility, collaboration, scalability, security and operational flexibility. It can also provide the infrastructure needed to adopt emerging technologies such as automation and AI.

However, moving to the cloud should be treated as a strategic decision rather than as simply a technology upgrade. Firms should assess their applications, security requirements, compliance obligations, user needs, budget and business-continuity goals before selecting a solution.
