The platform automates the entire hiring workflow from posting a job listing to tracking applicants to sending an offer letter. It also enables automation of payroll and time tracking by creating a unified data environment that includes all the accounting data (it also enables mobile time tracking so people don’t need to clock in manually.)
Beyond workflow automations, the platform also features a centralized hub for health care enrollment, paid time off requests, and workers’ compensation accessible to both employees and HR teams without the need for third-party apps. Users can create 401(k) plans that sync directly with employee payroll data, with reporting and compliance support available 24/7 via savings and retirement solutions provider Vestwell.
The solution also lets people generate employee reviews, establish feedback cycles and set goals without the need for a separate HR tool. The platform also boasts document management capabilities that let users create, sign, store and manage digital documents in one secure location.
Under the hood, the solution uses agentic AI automations that employ virtual AI agents to generate workflows. For example, the Payroll Agent can proactively collect and validate data, flag inconsistencies, and run payroll on behalf of the business owner. Other agent-based automations streamline workflows such as onboarding and documents, using process automations and a rules-based workflow engine to notify the appropriate people, prompt them to take action, and the process will advance automatically.
Prior to the launch, QuickBooks Workforce was a self-service employee portal where business owners could provide access for employees to view pay stubs, W-2s and their payroll information. An Intuit spokesperson said QuickBooks Workforce represents an expansion and evolution of the company’s previous QuickBooks Online Payroll capabilities into a complete HCM solution. Employees can still continue to access the self-service portal through the QuickBooks Workforce app and access the latest features.
This also means that the existing capabilities of QuickBooks Payroll are being integrated into QuickBooks Workforce, alongside other HCM tools that will automatically sync with payroll data. The previous standalone QuickBooks Online Payroll product tiers have expanded to include these HCM tools, and have been renamed to reflect this change. QuickBooks Payroll Core is now Workforce Payroll; QuickBooks Payroll Premium is now Workforce Premium; and QuickBooks Payroll Elite is now Workforce Elite.
Those who are currently subscribed to QuickBooks Payroll will gain automatic access to the new HCM features in QuickBooks Workforce based on their corresponding subscription tier. QuickBooks Workforce will also be available to existing QuickBooks Online and Intuit Enterprise Suite customers not currently using QuickBooks Payroll. They will be able to add QuickBooks Workforce to their existing subscriptions. New QuickBooks customers will have the ability to purchase QuickBooks Online and QuickBooks Workforce together as a bundle.
QuickBooks Workforce will be generally available to all eligible QuickBooks Online, QuickBooks Online Advanced and Intuit Enterprise Suite customers in the U.S. in the coming weeks. Existing customers not currently using QuickBooks Payroll will be able to add QuickBooks Workforce to their existing subscriptions.
